COAST People Strategies (“COAST,” “we,” “us,” or “our”) respects your privacy. This policy explains how we collect, use, disclose and protect personal information when you visit our website, contact us, book a conversation or take part in our services.

Depending on how you interact with us, we may collect:

  • your name, email address, phone number and other contact details;
  • your organization, role and other professional information you choose to provide;
  • information you include in an inquiry, booking form or other communication;
  • information you share during coaching, consulting, employee engagement, workplace wellbeing, breath coaching or meditation services;
  • responses you provide through surveys, interviews or other activities connected with an engagement; and
  • information needed to manage agreements, invoices, payments and business records

Some of this information may be sensitive. We ask that you share only what is relevant to your inquiry or the service you are receiving. We collect personal information for the purposes described in this policy and as explained when information is requested.

Our website is hosted by Bluehost. When you visit, our hosting provider may record technical information such as your IP address, browser details and pages requested to operate, secure and troubleshoot the website.

We use Google Analytics to understand how visitors use our website, such as which pages they visit and how they interact with the site. Google Analytics uses cookies and may collect information about your device, browser and website activity. We use these insights to improve the website. We do not use information shared in coaching or consulting sessions for website analytics.

You can manage or delete cookies through your browser settings. Disabling cookies may affect some website features. You can also learn about Google’s use of information from sites that use its services.

We may use personal information to:

  • respond to inquiries and communicate with you;
  • arrange, prepare for and provide our services;
  • conduct employee engagement surveys, interviews, workshops and other agreed activities;
  • manage client relationships, agreements, invoicing and payments;
  • improve our services based on feedback you choose to share;
  • send resources or communications you have requested; and
  • meet applicable legal, regulatory, insurance and business record requirements.

We will identify any new purpose for using personal information and obtain additional consent where required. Downloading a resource or contacting COAST does not, by itself, sign you up for marketing emails.

Information shared during coaching and workplace wellbeing services is handled confidentially, subject to the limits explained in the applicable agreement and under the law. Before collecting employee feedback, we explain how responses will be handled and what information may be shared with the organization.

When we collect employee feedback for an organization, we explain to participants why it is being collected, whether responses are anonymous or confidential, and what findings may be shared with the organization. We generally report themes and patterns rather than attributing comments to individuals.

Where required by law, we obtain your consent to collect, use, or disclose your personal information.

You may withdraw your consent at any time, subject to legal or contractual restrictions and reasonable notice. Withdrawing consent may affect our ability to provide certain services.

We will only collect, use, or disclose personal information for purposes that a reasonable person would consider appropriate in the circumstances.

COAST does not sell or rent your personal information.

We use other companies to help operate our website and business. Depending on how you interact with us, these may include website hosting, contact forms and email delivery, scheduling, cloud storage, payment processing, video conferencing, survey platforms and Google Analytics. A provider may process information needed to deliver its service.

We take reasonable steps to protect personal information handled by service providers. Some providers may store or process information outside Canada. Information in another country may be subject to that country’s laws and lawful access processes.

We may also disclose personal information when required or permitted by law.

We use safeguards appropriate to the sensitivity of the information we hold. These include reasonable steps to limit access and protect information against loss, unauthorized access, use, disclosure or alteration. No method of electronic storage or transmission can be guaranteed completely secure.

We keep personal information only as long as reasonably needed for the purposes described in this policy, including providing services, maintaining business records, meeting legal or contractual requirements and addressing disputes. Retention periods may differ depending on the type of information and the service involved.

When information is no longer needed, we take reasonable steps to securely delete, destroy or anonymize it.
